Executive Assistant / Operations Administrator

We're searching for a long-term diligent IN-OFFICE assistant to provide administrative support. You'll be responsible for maintaining the efficient flow of paperwork, organizing client files (both digital and hard copies), interacting with clients who come to the office, implementing office systems to streamline our processes, ordering office equipment, and working as an integral part of a team. Paralegal Support

We are willing to train the right team member to do paralegal work on the court side of our practice. Adding this to the job description will make this position very diverse and challenging.

Responsibilities:
--- Creation, implementation and maintenance of effective document storage and filing systems
--- Data entry
--- Maintaining databases for consistent details to be used for client relations and marketing purposes
--- Case file management by organizing, maintaining, and tracking files to make them easily accessible, including paper and digital files
--- Assisting with the creation of around 75 monthly billing statements for clients
--- Informing team members regularly about the status of projects
--- Maintaining supply inventories
--- Troubleshooting computers, printers, fax machines, scanners, shredders and other office equipment
--- Calling for maintenance and repairs of various office equipment as needed
--- Answering phone calls and emails regarding documentation organization
--- Photocopying, scanning and sending faxes
--- Sorting, delivering, picking up and sending mail
--- Supporting our team members
--- Assisting in administrative tasks related to operations, client support and marketing

Eventual Paralegal Responsibilities:
--- Drafting pleadings, court forms, and other legal documents
--- Researching legal issues
--- Corresponding with clients and other involved parties
--- Managing client files for probates, conservatorship, and some litigation matters
--- Working with financial institutions
--- Working with other attorney's offices
--- Working with the County Clerk's office
--- Creating Plans for Distribution in Excel
--- Creating accountings
--- Accurately entering billable time

Qualifications:
--- You live near the office and have a reliable car
--- Comfortable with MAC platforms
--- Accurate and fast typist (minimum 65 wpm)
--- Experience as a file clerk (preferred but not required)
--- Working knowledge of MS Office and office equipment such as photocopier, printer, scanner, etc.
--- Ability to work in a fast-paced environment
--- Good communicator, written and oral
--- Ability to quickly finish detailed work on time
--- Dependable with respect to confidentiality and policies
--- Excellent organizational skills
--- Great attention to detail
--- Customer service experience is a plus
