This role can be based in either our El Segundo, CA or Auburn, MA office and will report to the Head of Talent Acquisition. KEY RESPONSIBILITIES Key responsibilities include but are not limited to:

  • Work closely with recruiters to create and deliver accurate offer letters within the expected time frame.
  • Confirm accuracy of eFiles.
  • Regularly communicate onboarding status or roadblocks.
  • Work closely with candidate to administer pre-employment assessments and report results to hiring manager and recruiter.
  • Contingencies (Background, drug test and motor vehicle report)
  • Responsible for initiating contingencies, reviewing status daily and communicating status to recruiter, hiring manger and candidate.
  • Identifying candidate delays and guiding them through the process, as needed.
  • Reviewing results and escalating issues to management.
  • Executing the adverse process, as needed. New Employee Onboarding
    • Responsible for launching the onboarding process and reviewing status.
    • Identifying and remedying delays.
    • Regular communication with the onboarding community (Hiring Managers/Credentialing/IT).
    • Ensure accurate completion of the Form I-9/E-verify process. Interview Scheduling and Communication
      • Work closely with recruiters, hiring departments and candidates to coordinate interviews across mutiple time zones and regularly communicate status.
      • Provide candidate support to confirm interview day readiness; may include video interview prep.
      • Provide interview day support to ensure a positive candidate and interviewer experience.
      • Swiftly and professionally adjust to unexpected changes. New Hire Orientation
        • Responsible for New Hire Orientation facilitation and scheduling.
        • Manage onsite welcome pack process: inventory management, coordination, and distribution.
        • Administer online post-hire surveys; generate and analyze reports to review with senior management.
        • Schedule periodic focus groups to identify process improvements. ADDITIONAL RESPONSIBILITIES
          • Track and administer onboarding/offboarding for consultants; run quarterly audits and work with managers to maintain accuracy.
          • Identify need and recommend modifications to continuously improve processes and documented standard operating procedures.
          • Ensure thorough training of individual(s) assigned as backup to the responsibilities of this position; perform backup responsibilities for other HR functions as assigned.
          • Perform other related duties as required. REQUIREMENTS
            • Our successful candidate will have excellent business communication skills, both in written and spoken form. Additional requirements include:
            • Accuracy and strict attention to detail is a must.
            • Minimum education required bachelor's degree or equivalent work experience.
            • Minimum 3 years' experience supporting and working with in a fast-paced corporate HR team.
            • Experience analyzing data and making sound recommendations.
            • Demonstrated ability to work effectively with employees at all levels from executives to individual contributors including onsite, offsite, and global.
            • Ability to smoothly adapt to competing priorities while maintaining professionalism and excellent customer service.
            • Maintain a high level of confidentiality consistent with a corporate Human Resources department.
            • Practicing exceptional organizational, time management, administrative and customer service skills. Ability to use:
              • MS Excel for managing/presenting data, generating reports.
              • MS Word for generating letters and performing mail merge.
              • MS Outlook for advanced meeting scheduling, heavy emailing.
              • MS Teams/Zoom for video interviews/meetings and presentations.
              • HR related systems (ATS, pre-assessment, etc.) and social media platforms.
